            Important: We are committed to processing all data deletion requests within 30 days of receipt. Once your data is deleted, this action cannot be undone.

You can request the deletion of the following types of data:

Conversation History: All messages and interactions with our AI agents
Appointment Data: Scheduled appointments and related information
Meta Platform Data: Data collected through Facebook Messenger, WhatsApp, or Instagram
Usage Data: Analytics and usage patterns associated with your account
Communication Preferences: Marketing preferences and subscription data

2. How to Request Data Deletion

We offer multiple methods to request deletion of your data. Choose the option that works best for you:

Option 1: Email Request (Recommended)

3 Include the following information in your email:

Your full name
Email address associated with your account (if different from sender)
Phone number (if applicable)
Platform(s) where you interacted with us (Messenger, WhatsApp, Instagram, website)
Specific data you want deleted (or state "all data" for complete deletion)
Any additional information to help us identify your account

4 We will respond within 5 business days to confirm receipt and verify your identity

5 Your data will be deleted within 30 days of verification

Option 2: Request via Meta Platforms

If you interacted with Hachi through Facebook Messenger, WhatsApp, or Instagram:

1 Send a message to our business account on the platform you used

2 Type: "I request deletion of my data"

3 Our AI agent will guide you through the verification process

4 You will receive a confirmation message once your request is processed

Option 3: Contact Form on Website

2 Use the contact form to submit your deletion request

3 Include all relevant information to identify your account

4 You will receive a confirmation email within 5 business days

3. Verification Process

To protect your privacy and prevent unauthorized deletion requests, we need to verify your identity before processing your request. This may include:

Confirming ownership of the email address or phone number associated with your account
Answering security questions
Providing additional identifying information
Confirming recent interactions or appointments

4. What Happens After Deletion?

Once your data deletion request is processed:

Immediate Effect: Your account will be deactivated immediately after verification
Data Removal: All personal data will be permanently deleted from our active systems within 30 days
Backup Systems: Data in backup systems will be deleted within 90 days
Service Access: You will no longer have access to any services or appointments
Irreversible: This action cannot be undone; you would need to create a new account to use our services again

            Note: Some data may be retained for legal compliance purposes, such as transaction records required for tax or accounting purposes, or data needed for ongoing legal matters. We will inform you if any such exceptions apply to your request.
        

5. Exceptions and Limitations

In certain circumstances, we may be unable to delete some or all of your data:

Legal Obligations: Data required by law to be retained (e.g., financial records, tax documents)
Pending Transactions: Data related to ongoing services or pending appointments
Legal Claims: Data needed for establishing, exercising, or defending legal claims
Security and Fraud: Data necessary to protect against fraudulent or malicious activity
Anonymized Data: Data that has been fully anonymized and cannot be linked back to you

If any exceptions apply to your request, we will notify you and explain the specific reasons.

6. Meta Platform-Specific Information

Facebook Messenger

Deletion of data from interactions via Facebook Messenger will remove all conversation history, profile information received from Facebook, and any appointment data created through Messenger conversations.

Deletion of WhatsApp data will remove all message history, your phone number, and any associated appointment or service data.

Instagram

Deletion of Instagram data will remove all direct message conversations, profile information received from Instagram, and any related interaction data.

            Important: Deleting your data from Hachi does not delete your Meta platform accounts. To delete your Meta accounts, please visit the respective platform's settings.
        

7. Partial Data Deletion

If you don't want to delete all your data, you can request partial deletion of specific information:

Delete only conversation history while keeping your account
Delete data from specific platforms (e.g., only WhatsApp data)
Delete appointment history while retaining account information
Remove marketing preferences while keeping service data

Please specify your preference clearly in your deletion request.

8. Timeline

Request Submitted: Day 0

Confirmation Email: Within 5 business days

Identity Verification: Days 1-7

Data Deletion Initiated: After verification

Active Systems Deletion: Within 30 days

Backup Systems Deletion: Within 90 days

Final Confirmation: You will receive a final confirmation email once deletion is complete
